How to Find and Read Your Heartland Merchant Statement

Heartland, now part of Global Payments, keeps your statement in My Account. Where to find it, what each section shows and which fees are Heartland's.

Where to find your statement Sources listed at the end

Heartland Payment Systems is now part of Global Payments, and Heartland merchants find their monthly statement online in My Account. What the statement shows depends on your pricing: Heartland publishes a guide to its interchange-plus statement and to its flat-rate statement, and this page follows both.

Where to find your Heartland statement

  • My Account. Heartland's customer support page tells current customers to log in to My Account to view statements, reports, disputes and deposits. Global Payments' Heartland page says the same: My Account is where you view statements, reports and deposits.
  • Inside My Account. Global Payments' help center, which covers the My Account platform, says to choose Reports, then Statements, to view or download monthly statements. If you have more than one location, pick it with the location or chain selector.
  • InfoCentral. Heartland's older online portal. Heartland's 2023 statement guide points to InfoCentral for the online statement, and Global Payments still links to the InfoCentral sign-in for merchants who use it.

A few details from the Global Payments help center for My Account: statements are due by the 5th day of the month, statement-ready emails go only to the account's administrators, up to 24 months of data is kept, and paper statements are a subscription you turn on under Product Offerings.

If you are not sure which portal you use, call the customer service number printed on your statement.

The sections of a Heartland statement

Heartland's guide to its interchange-plus statement lists these sections:

Section What it shows
Cover page Total deposits and total fees for the month
Important messages News about PCI, EMV, card brand interchange changes and changes to your account
Your Business Sales volume over the past 13 months, and the card types you accept by volume
Fee Summary Every transaction fee for the month, by card brand
HPS Processing Fees What Heartland charges as your processor
Value Added Services Fee Summary Subscriptions such as Heartland Gift
Processing Summary, Settled by Heartland The same fee data, broken down by card brand
Processing Summary, Settled by Others Transactions settled by a third party, which sends its own statement
Deposit Detail Each deposit by batch number, with the fees taken out before it

Heartland defines the cover page totals this way: total deposits is all the money deposited to your account that month, and total fees is all fees paid to the card brands, card issuers and Heartland for processing that month.

Reading the Fee Summary

The Fee Summary is the longest part of the statement because it lists every transaction fee. Visa, Mastercard, Discover and American Express each get their own section. Heartland's key to the codes:

Code or column Meaning
VS, MC, DS, Amex Visa, Mastercard, Discover, American Express
CR, DB Credit card, debit card
Anything that is not CR or DB Dues and assessments set by the card brand
Discount % rate The percentage paid to the card issuer (the bank) for that card type
DPI (discount per item) The per-transaction amount paid to the card issuer

Each line's fee follows the formula Heartland gives: total fee = (dollar amount × discount % rate) + (DPI × number of transactions).

One thing to watch: on this statement, "discount" in the Fee Summary means the card issuer's interchange, not Heartland's own rate. Heartland's own charges sit in a separate section.

Heartland's own fees: HPS Processing Fees

Heartland's guide says it typically charges four fees, shown under HPS Processing Fees:

  1. Discount fee. What Heartland charges for passing your transactions through to the card companies.
  2. Transaction fee. A fee for each attempt to run a transaction.
  3. Service and regulatory mandate. A monthly fee that Heartland says covers its customer support, access to its PCI compliance validation partner, its Merchant Protection Plan and InfoCentral.
  4. Monthly vs. daily discount cost. Card brands bill and settle processors daily. Heartland charges a fee to let a business settle its fees monthly instead.

These four lines, plus anything in the Value Added Services Fee Summary, are the processor's share of your cost. The Fee Summary lines are the interchange and card brand fees that pass through. Interchange, Assessments and Markup: 3 Layers of Card Fees explains the three layers.

Flat-rate statements

On Heartland's flat-rate statement, the cover page and important messages come first, then:

  • Processing Summary, Settled by HPS: transactions, sales volume, refunds, net sales and average ticket, by card brand and type.
  • Processing Summary, Settled by Others: the same breakdown for transactions processed outside Heartland's network, such as American Express paid directly.
  • Fee Summary: Heartland's fees, split into card-not-present (online or phone) and card-present transactions, each with its own discount rate and per-transaction fee.
  • Surcharge Summary: only for businesses on Heartland's surcharge program; the number of surcharged transactions and the total surcharge collected.
  • Deposit Detail: total deposits per day.

Heartland notes that the last page is usually kept for card brand updates, such as interchange changes.

Daily or monthly fees, and your deposits

The Deposit Detail section shows each deposit by batch, with the fees taken out before it. Heartland's guide says that whether you are billed daily or monthly changes what you see there, and that the monthly vs. daily discount cost line is the fee for settling your fees monthly instead of daily. If your deposits do not match your sales, check which billing you have before anything else.

Working out your effective rate

Divide the total fees on the cover page by your card sales for the month, then multiply by 100. The effective rate calculator does the math once you have the two numbers, and Effective Rate: How to Calculate Your Card Processing Rate explains what the number does and does not tell you.

What to check each month

  • The Important Messages page, for card brand interchange changes and changes to your account.
  • Each line under HPS Processing Fees against the rates in your agreement.
  • The monthly vs. daily discount cost line, if you chose monthly billing.
  • The Value Added Services Fee Summary, for subscriptions you no longer use.
  • Processing Summary, Settled by Others, which means a second statement from another company to add to your costs.
