How to Read Your Toast Processing Statement

Toast's Processing Statements report is your merchant statement. Where it is, what Payments, Fees, Monthly Adjustments and Withholdings mean.

Toast calls its merchant statement the Processing Statements report. Toast's own help page notes it is also called the merchant statement, credit card statement, CC settled statement, card processing report or end-of-month statement. This guide walks through the report and the related payments reports.

Where to find it

In Toast Web, go to Reports > Payments > Processing statements.

  • The report covers any date range within the last 25 months.
  • One run cannot exceed six months. For a longer period, run it in six-month pieces.
  • It also contains software fees and other debits and credits incurred over the billing cycle and billed monthly.

The line items

Line Toast's definition (paraphrased)
Payments Total card payments made to the restaurant. If the merchant account balance is short at month end, an ACH transfer to settle it appears here when received.
Refunds Total refunded to guests.
Fees The fee amount based on your credit card processing rate.
Fee adjustments / Monthly adjustments The end-of-month true-up between the card fees Toast estimated during the month and the actual card fees.
Other withholdings A combined figure that can include marketplace facilitator tax, Toast Delivery Services, Toast Capital loan payments, instant deposit amounts and EasyPay leases.
Previous credit card balance The amount left in the merchant account that Toast uses to process card fees before depositing payments.
Net Net sales equal total sales minus tax, gratuity, tips and deferred amounts.

Why there are two fee lines

Toast estimates card fees at the time of payment and removes them before the next-day deposit. The final fee depends on settlement data from the card processor, which Toast says typically arrives one to two days after the transaction. Small rounding differences accumulate, so at month end Toast calculates the true fees and posts a Monthly Adjustment to settle the difference. Your real monthly fee is Fees plus Monthly Adjustments.

Toast does not publish a rate card

Your processing rate is in your Toast agreement. The statement's Fees line applies that rate. To see the rate and fees by card brand, Toast's Deposit Totals Overview report (Reports > Payments) shows settled card totals with processing rates and fees broken out by Visa, Mastercard, Discover and American Express.

Reading a month in four steps

  1. Run Processing Statements for the full calendar month.
  2. Add Fees and Monthly Adjustments. Divide by Payments (or Payments minus Refunds, and say which) to get your effective rate. See Effective Rate: How to Calculate Your Card Processing Rate.
  3. Open Deposit Totals Overview for the same month to see the rate and fee by card brand.
  4. Check Other Withholdings so loan payments, leases and delivery fees are not mistaken for processing cost.

What to check each month

  • A Monthly Adjustment that is large relative to Fees, which means the estimate and the true cost diverged.
  • Items inside Other Withholdings, each with its own contract.
  • Chargeback activity in the Chargeback challenger.
  • If you are on interchange-plus, the Cost Breakdown report, which lets you separate interchange from Toast's markup.

Is the Processing Statements report the same as a merchant statement?

Yes. Toast lists "merchant statement" among the names for this report.

Why does Toast adjust fees at month end?

Fees are estimated at the time of sale and finalized when settlement data arrives. The Monthly Adjustment reconciles the two.

Where is my processing rate?

In your Toast agreement. The Deposit Totals Overview report shows the rate applied by card brand.

How far back can I run the Processing Statements report?

Any date range within the last 25 months, in runs of no more than six months each.
